When a vendor audit notice arrives, the clock starts. We provide the project leadership that turns an audit response into a managed engagement, from the day the notice lands to the day it is settled and closed.

Audits go wrong on coordination, not licensing detail

When an audit goes badly, the post-mortem usually blames the licensing position. In our experience the licensing position is rarely what turns a manageable audit into an expensive one. What turns it is the way the response is run. An audit is a project with a counterparty, a clock and real commercial exposure, and most organisations attempt it without the discipline they would apply to a project a tenth of its size.

Missed deadlines become escalations. Nobody owns the response. A well-meaning team member answers an auditor's quick question and it ends up on the record. Evidence is assembled in a rush and every gap invites another data request. We have written about these patterns in why software audits go wrong without project discipline.

What we take on

Stakeholder mobilisation. One accountable owner, a defined response team and clear roles across IT, procurement, finance and legal, agreed before the auditor starts talking to whoever answers.

Evidence coordination. Deployment data, entitlement records and contract documents gathered as a planned workstream, with owners, quality checks and version control, so what leaves the organisation is complete, consistent and reviewed.

Vendor communications cadence. Every communication and every piece of data goes through one controlled channel. Auditor calls are prepared, run with one voice and followed up in writing. Our guide to running auditor calls sets out how.

Deadlines and reporting. Every date is treated as a delivery commitment with a named owner and a plan behind it. Leadership hears progress and exposure from the response team, not from the auditor.

From notice through settlement

We mobilise the response as soon as the notice arrives, run the data request and evidence cycles, keep the scope and timeline under control as the audit develops, and support your specialists through findings and settlement. Throughout, we watch for the early warning signs that an audit is drifting and reset the plan before small slips become expensive ones.

Where the boundary sits

We run the response. We do not set your licensing position. Compliance analysis and negotiation strategy belong with specialist licensing consultancies, and we work alongside them so they can spend their time on the arguments rather than the logistics. We are independent of vendors, resellers and tooling, so the only thing shaping our advice is your situation. Read more on the case for an independent audit response manager.

How we engage

We can lead the response end to end, sit inside your team as an embedded project manager, or deliver the project management inside a SAM consultancy's engagement. See how we engage for typical durations and what we need from you.
